WINEDEPOT is an exciting new ASX listed technology start-up, that is disrupting the US$300 billion global wine industry. At the core of our business is a cloud-based technology platform that provides beverage producers, distributors and importers access to an integrated sales, logistics and finance solution designed to make their supply chain simpler, faster and more cost effective. Our mission is to let drinks flow.Since launching less than two years agoWINEDEPOT has rapidly scaled and now services over 600 suppliers and collectively employs 50+ executives and 100+ operational staff. Over the next 12 months we expect to ship more than 1 million cases of premium wine.
To support our exponential growth trajectory, we’re searching for a highly qualifiedChief of Staffto handle the day-to-day management of personnel to allow the CEO to focus on business development and growth acceleration strategies.
Objectives & Key Results
- Keep the CEO accountable to their KPIs and on-track in deliverables
- Assist the CEO with the day-to-day operational management of the business by ensuring their time is allocated to the most important priorities
- Oversee the implementation of strategic plans and initiatives across the business
- Help to create a high-performance culture and working environment that aligns our Mission, Vision and Values, that attracts, retains and rewards employees
- Ensure all staff issues are address properly, efficiently, and judiciously, keeping track of progress until resolved
Key duties and responsibilities
- Collaborate with the CEO and leadership team performing an array of administrative tasks from managing calendars, generating minutes and memos, maintaining files, planning and coordinating high level meetings such as AGM’s
- Serve as the liaison between staff, executives, senior leaders and CEO regarding all strategic initiatives and projects
- Assess inquiries directed to the CEO, determine the proper course of action and delegate to the appropriate person to manage
- Facilitate fair and equitable access to the CEO so stakeholders can get timely feedback, support and two-way communication
- Attend meetings, functions and industry events on behalf of the CEO as required
- Support the CEO in facilitating effective meetings, decision-making, communication of outcomes and delegation of action points.
- Following up on progress of action items agreed in meetings
- Assist and communicate with the executive team in respect of decision-making, program management and initiative implementation
- Promote agility by ensuring projects, strategic initiatives or commercial agreements are not stalled waiting for the CEO’s attention
- Assist in the production, checking and distribution of internal and external stakeholder reports
- Review, design and execute on improvements to the org structure, find knowledge and skills gaps and help address them
- Participate in regular meetings with Human Resources to discuss potential staffing issues
- Ensure all staff issues are address properly, efficiently and judiciously, and keep track of progress until resolved
- Assist the human resources department with new hires, including documentation and onboarding, and collaborate to address and resolve all employee concerns
- Build and develop relationships with all employees for increased efficiency and drive responsiveness into existing operations, and help define new operational strategies
- Review and improve management policies, processes and procedures to ensure efficiency and productivity is optimised
- Serve as a subject matter expert in relation to People, Culture and Employment policies, handling inquiries and developing action plans to address them, and assisting with the preparation and dissemination of communications
Skills & qualifications
The ideal candidate will be a strategist, consultant and implementer – with proven experience in a business management and executive-level advising and interdepartmental collaboration.
- Master’s degree in business administration or related field
- 5+ years in a business or executive management role
- Proven experience in organizing and directing multiple teams and departments
- Impeccable managerial & interpersonal skill
- Proven track record of effectively interacting with senior management
- Extremely versatile, dedicated to efficient productivity and action-oriented
- Experience planning and leading strategic initiatives
- Previous experience as a high-performing EA or senior counsel to company leaders
Preferred qualifications
- Experience with entrepreneurial ventures and/or technology start ups
- Experience with data analysis
- Experience with budget management
- Consulting experience with a focus on operations management
- Proven success in a project management or coordination role
- Nimble business mind with a focus on developing creative solutions
- Strong project reporting skills, with a focus on interdepartmental communication
- Awareness of contemporary corporate culture
