Job Description:
Reporting to the Executive Assistant and working closely with senior staff, the Administrative Assistant facilitates the efficient operation of the company by performing a variety of clerical and administrative tasks.
NOTE: This role is subject to the incumbent’s ability to hold and maintain an NRC Q-clearance, as well as their ongoing ability to maintain nuclear site access.
Roles and Responsibilities:
- Answers and transfers phone calls, screening when necessary.
- Welcomes and directs visitors and clients.
- Maintains filing systems as assigned.
- Retrieves information as requested from records, email, minutes, and other related documents; prepares written summaries of data when needed.
- Responds to and resolves administrative inquiries and questions.
- Coordinates and schedules travel, meetings, and appointments for managers or employees.
- Prepares agendas and schedules for meetings.
- Records and distributes minutes or other records for meetings.
- Maintains office supplies and coordinates maintenance of office equipment.
- Performs other related duties as assigned.
Qualifications, Education, and Experience:
- Ability to obtain and maintain an NRC Q-clearance.
- High school diploma required; Associate or Bachelor’s degree in Business Administration or related field preferred.
- At least two years of related experience preferred.
- Excellent verbal and written communication skills.
- Excellent organizational skills and attention to detail.
- Excellent time management skills with a proven ability to meet deadlines.
- Ability to function well in a high-paced and at times stressful environment.
- Able to type minimum of 50 words per minute.
- Extremely proficient with Microsoft Office Suite or similar software with the ability to learn new or updated software.
Physical Requirements:
- Prolonged periods sitting at a desk.
- Prolonged periods of and working on a computer and looking at a computer screen.
- Must be able to lift up to 50 pounds at times.
