Generally with options you would be contacted around a month or so in advance of the expiry.

If you wanted to convert them earlier you would need to touch base with LRS or the register (its been a while since I have converted some).

Having said all this I personally wouldn't be looking to convert them for some time unless I felt that would reduce the company to raise capital and therefore to minimise further dilution in the future.

If that isn't a factor you look at the situation at the moment and given no premium they are basically saying buy the shares you want now but you only have to give us half the capital right away. You can give us the other half in 2 years time.
