Suggest to send them a formal message of instruction (and request an acknowledgement). There are five resolutions. To avoid any confusion give your instruction for each one, 1 through 5, separately.

Anyone holding via a nominee who does not receive a voting notification may wish to do similar. But give the nominee at least 7 days, more if possible, before the voting deadline closes (which is 22nd Oct. if I recall correctly...)
