at the meeting I chatted to a few B&Y guys. i'm not a client, but had emailed them over the years as part of my research, so they had my details. They also confirmed that people who took the initiative to contact their office and validate their holding were welcome to attend.
There are always ways of making this happen if it is important enough. many of our hotcopper friends were in this category
